Self-Service Check-In
Self check-in lets students mark themselves as arrived without you touching the roster. They scan a QR poster (or open your check-in page) when they walk in, confirm their booking, and they're checked in — your roster updates instantly.
How It Works
- A student arrives with a booking for an upcoming class.
- They scan your studio's QR poster or visit your check-in page directly.
- Signed-in students confirm with one tap; guests enter the email they booked with.
- The booking is marked checked in and appears that way on the class roster.
Students who don't scan simply stay pending on the roster — the instructor can resolve them (check in or mark as no-show) the same way as before. Self check-in never marks anyone absent on its own.
Enabling Self Check-In
- Go to Settings > Check-In
- Turn on Enable Self Check-In
- Click Save Settings
Self check-in is off by default. Until you enable it, your check-in page tells visitors that self check-in isn't available.
The Check-In Window
Students can only check in close to class time, so someone can't check in for an evening class at breakfast. You control the window from the same settings page:
- Opens Before Class — how many minutes before the scheduled start a student can check in (0–120 minutes)
- Closes After Class Start — how many minutes after the start a late arrival can still check in (0–180 minutes)
Both default to 15 minutes, giving a window from 15 minutes before class start until 15 minutes after. Outside the window, students see when check-in opens instead of a check-in button.
Printing the QR Poster
The poster is what students scan at your door or front desk:
- Go to Settings > Check-In
- Click Print check-in poster
- Click Print poster on the preview page
The poster includes your studio branding and a QR code pointing at your check-in page. Print it and post it at your entrance or front desk.
Front-Desk Kiosk Mode
If you'd rather run check-in from a tablet at the front desk, open this URL on the device:
https://{your-subdomain}.studiobase.org/checkin?kiosk=1
Kiosk mode is built for a shared device:
- It resets after each check-in so the next student gets a fresh screen.
- It never uses a signed-in account — every student looks up their booking by email, so one person's session can't check in someone else.
Guests vs. Account Holders
- Account holders who open the check-in page on their own phone while signed in skip the email step — their upcoming booking is found automatically and they check in with one tap.
- Guests (and anyone on the kiosk) enter the email address they used to book, then confirm their booking.
When self check-in is enabled, booking confirmation emails include a check-in link, so students arriving for class already have the page one tap away.
On the Roster
Checked-in students show as checked in on the class roster, exactly as if you had checked them in manually. Anyone who booked but didn't scan stays pending until the instructor resolves them — see Handle No-Shows for what to do after class.
