Liability Waivers
Require guests to accept a liability waiver before booking classes at your studio. Manage waivers from Settings > Liability Waiver.
Setting Up a Waiver
1. Enable Waivers
Toggle Enable Liability Waivers to on. When enabled, guests must accept your waiver text before completing any booking.
2. Choose a Starter Template (Optional)
When you first enable waivers, choose from three professionally written starter templates:
- General Fitness Studio — For gyms, CrossFit boxes, bootcamps, and general fitness studios
- Yoga & Pilates Studio — For yoga, Pilates, barre, and mindful movement studios
- Dance Studio — For dance schools, choreography studios, and performing arts
Or select Start from scratch to write your own.
Templates are starting points only. We recommend having your attorney review and customize the waiver for your specific needs and local jurisdiction.
3. Edit with the Rich Text Editor
The rich text editor supports formatting your waiver with:
- Bold and italic text
- Headings (H1, H2, H3)
- Bullet lists and numbered lists
- Horizontal rules
You can also paste directly from Word or Google Docs — formatting is preserved automatically.
The editor supports up to 15,000 characters with a live character counter.
4. Add Custom Fields (Optional)
Below the editor, add custom fields that guests must fill out when accepting the waiver. Available field types:

| Medical Conditions | Text area for allergies, conditions, or medications |
| Date of Birth | Date picker |
| Photo & Video Release | Yes/no consent toggle |
| Custom Text | Free-text field with your own label |
| Custom Checkbox | Checkbox with your own label |
You can add up to 8 custom fields per waiver. Mark any field as required or optional, and reorder them as needed.
5. Preview and Save
Review your waiver in the Preview section below the editor, then click Save Changes.
Digital Signatures
When guests accept your waiver, they must provide a digital signature in addition to checking the acceptance checkbox.
Signature Options
Guests can choose between two signature methods:
- Draw — Sign with their finger (touch) or mouse on a signature canvas
- Type — Enter their full legal name, which is rendered as a signature
Both methods produce a digital image that is stored with the acceptance record.
Digital signatures add an additional layer of verification but may not constitute a legally binding signature in all jurisdictions. Consult your attorney for guidance.
PDF Email Copies
When a guest accepts your waiver, they automatically receive a confirmation email with a signed PDF copy attached. The PDF includes:
- Studio name and waiver version
- Guest name, email, and acceptance date
- Full waiver text
- Custom field responses
- Signature image
- Acceptance ID and IP address for audit purposes
Version Tracking
StudioBase automatically tracks waiver versions:
- Each time you edit and save the waiver text, the version number increments (e.g., 1.0 → 1.1 → 1.2)
- The current version number and last updated date are displayed above the editor
When you update the waiver text, guests who previously accepted an older version will need to accept the new version before their next booking.
Viewing Acceptance History
To see which guests have accepted your waiver:
- Click View Acceptance History on the waiver settings page
- Browse the paginated list showing:
- Guest email and name
- Waiver version they accepted
- Date accepted
- Signature type (Drawn or Typed)
- Whether the acceptance is linked to a booking
- Use the search bar to find a specific guest by email
- Use the version filter dropdown to view acceptances for a specific waiver version
Download PDF
Click the download icon on any acceptance row to download a PDF copy of the signed waiver.
Export CSV
Click Export CSV in the header to download all displayed acceptances as a CSV file. The export includes guest email, name, version, date, booking status, and signature type.
Disabling Waivers
Toggle Enable Liability Waivers to off. Guests will no longer be required to accept a waiver when booking. Previous acceptance records are preserved.
Tips
- Consult a legal professional when drafting your waiver text
- Use a starter template as a foundation, then customize for your needs
- Keep waivers clear and readable for guests
- Use custom fields to collect essential information (emergency contacts, medical conditions)
- Only update the waiver text when necessary, since version changes require all guests to re-accept
